User Guide and Documentation

1. Facebook Accounts & Fan Pages

Note: After you log in to the application, your main Facebook account is automatically authorized and your fan pages are imported. If you need to resync your pages at any time, simply click the "Synchronize Fan Pages" button.

How to Authorize an Additional Facebook Account

If you manage pages across multiple Facebook accounts, follow these steps to add them:

  1. Log in to Autoresponder Bot with your main Facebook account.
  2. Open a new browser tab and log in to Facebook using the new account you wish to authorize.
  3. Return to Autoresponder Bot, navigate to the "Facebook Accounts & Fan Pages" section, and click "Authorize New Facebook Account".
  4. Save the new account name, then click "Authorize Application".
  5. Approve all requested permissions in the Facebook pop-up window.

Note: You only need to perform this authorization once per Facebook account.

How to Import and Synchronize New Fan Pages

After authorizing a new account, the system attempts to import your pages automatically. To manually sync new pages:

  1. Go to "Facebook Accounts And Fan Pages" and click the orange "Synchronize Fan Pages" button.
  2. In the Facebook dialog, click "Edit Settings" (do not click "Continue" yet).
  3. Select the specific new fan pages you want to import into Autoresponder Bot.
  4. Grant all requested permissions. After the redirect, your new pages will appear in the dashboard.

Troubleshooting: "Edit Settings" Button is Missing

If Facebook does not show the "Edit Settings" option during authorization, follow these steps to reset the connection:

  1. Log out of the Autoresponder Bot application.
  2. Go to Facebook.com, click on Settings & Privacy, and then select Settings.
  3. Navigate to the Business Integrations section, find the Autoresponder Bot app, and Remove it.
  4. Return to Autoresponder Bot and click LOGIN.
  5. Facebook will now ask for fresh permissions. Make sure to select all the fan pages you want to import before confirming.

2. Templates And Resources

Keyword Lists

Use this section to train your bot to reply only when specific words are mentioned. The software scans posts, comments, messages, and reviews for these keywords and executes your chosen action (reply, delete, hide, like, etc.).

Enter your keywords one by one, separated by commas (e.g., keyword1, keyword2, keyword3).

Advanced Keyword Matching (Wildcards):

  • keyword - Broad match. Triggers if the word exists anywhere in the text (case-insensitive).
  • *keyword* - Exact phrase match. Triggers only if the exact word is found.
  • *keyword - Suffix match. Triggers for any text ending with this keyword.
  • keyword* - Prefix match. Triggers for any text starting with this keyword.
  • <<keyword>> - Strict exact match. Triggers only if the user's entire comment is exactly this word (case-insensitive).

Special Action Tags for Keywords:

You can use these tags to trigger actions based on the type of content a user posts, rather than specific words:

  • @@@link@@@ - Triggers if the user includes a URL/link in their comment.
  • @@@email@@@ - Triggers if the user includes an email address.
  • @@@image@@@ - Triggers if the user uploads a photo in their comment.
  • @@@video@@@ - Triggers if the user uploads a video.
  • @@@taggedfriend@@@ - Triggers if the user tags another person in their comment.

Private Message Lists and Autoresponder Templates

In these sections, you will draft the actual messages your bot will send. Private message lists are used for DMs, while Autoresponder templates are used for public replies to comments and reviews.

Important Limitations:
  • Do NOT use HTML code or non-ASCII characters.
  • Private Messages: Maximum 640 characters (Facebook limit).
  • Public Replies: Maximum 2000 characters (including dynamic tags).
  • Messages exceeding these limits will fail to send.

Dynamic Personalization Tags:

Use these tags inside your message templates to make replies feel human and personalized:

  • %%%name%%% - User's full name.
  • %%%taggedname%%% - User's full name (tagged/clickable).
  • %%%fname%%% - User's first name.
  • %%%lname%%% - User's last name.
  • %%%todaydate%%% - Current date.
  • %%%dayofweek%%% - Current day of the week.
  • %%%currentmonth%%% - Current month.
  • %%%link%%% - Repeats the link found in the user's original post.
  • %%%number%%% - Repeats the first number found in the user's text.
  • %%%keyword%%% - The specific keyword that triggered the bot.
  • %%%usercomment%%% - Quotes the user's original comment.

How to Attach Images to Replies

You can attach images to public replies (comments, posts, reviews), but not to private messages.

Supported formats: jpg, jpeg, png, tiff, bmp.

  1. Upload your image somewhere online and copy its direct URL.
  2. Paste the image URL as the very first line of your message template.
  3. Write your text or add links starting on the second line.
  4. Note: Do not attach more than one image per message.

3. FB Comments Moderator

You can configure your bot using one of three distinct campaign types:

  1. Auto-reply to all Guest Posts: The bot moderates posts created by visitors on your page timeline. You can set it to like the post, reply publicly, or send a DM based on keywords.
  2. Auto-reply to all Comments on All Posts: The bot constantly monitors your entire page (posts, videos, albums, events) and replies to any new comment.
  3. Auto-reply to Comments on Specific Posts (by ID): The bot monitors only the specific posts you select. This is highly recommended for moderating Facebook Ads and Dark Posts.

How to Find a Post ID

For regular timeline posts: Click the [View Page Posts] link next to the Post IDs field in our dashboard to view a list of your recent posts and their IDs.

For Ads, Boosted Posts, or Dark Posts:

  1. Go to your Facebook Ads Manager.
  2. Select your fan page from the top right menu.
  3. Click on the Ads tab on the left sidebar.
  4. Click on the specific ad you want to moderate. A preview window will open.
  5. The Post ID is the numeric string located at the top of that preview window.

4. Messenger Bot

The Messenger Bot allows you to create interactive, keyword-based chat experiences in your page's DMs. You can set specific answers for common queries (e.g., pricing, opening hours, support) and designate a fallback "general answer" for unrecognized keywords.

Critical Setup Rules:
  • Do NOT create more than one active messenger bot campaign for the same fan page. They will conflict.
  • The bot will only work if you disable Facebook's native "Instant Reply" and "Custom Questions" features inside your Page Inbox Settings.

5. Facebook Contests

With Autoresponder Bot you can create contests, sweepstakes and giveaways directly on your fan page. Just choose the fan page, the post ID and configure the rules of the contest.

For each contest type, there are multiple options, each one being described in the help tooltips.

6. Auto Comment Poster

Use this module to automatically post new comments on your old, existing fan page posts to revive them.

When you add a new comment, anyone who previously interacted with that post will receive a fresh Facebook notification, significantly boosting re-engagement. Simply select your fan page, input the Post ID, choose your message template, and set the posting schedule.

7. Instagram Moderator

You can set up comment auto-responders for Instagram Business accounts that are linked to your Facebook fan pages.

Step-by-Step Setup:

  1. Navigate to the "Instagram Business Profiles" section in our dashboard. Click "Authorize New Instagram Business Profile" and give it a recognizable name.
  2. Click the "Authorize Application" button. When the Facebook pop-up appears, make sure to select the Facebook fan pages connected to your Instagram account and grant all requested permissions.
  3. Once imported, your pages will show a "NOT LINKED" status. Click the "Link Instagram Business Account" button next to the corresponding page to finalize the connection.

Available Instagram Campaign Types:

  • Moderate new comments on all media posted to your profile.
  • Moderate new comments on specific media posts.
  • Moderate new comments or captions anywhere on Instagram that contain a @mention of your profile.
